International Rescue Committee

The International Rescue Committee (IRC) is one of the largest humanitarian agencies in the world, providing relief, rehabilitation and post-conflict reconstruction support to victims of oppression and violent conflict. IRC has worked for over seven decades and today is involved in over 25 conflict zones in the world. We address both the immediate, life saving needs of conflict affected people in an emergency and the reconstruction needs in post conflict societies.

Human Resources department recognizes that staff are an essential resource upon which the achievement of the IRC's objectives depend. As such we are committed to ensuring that the IRC is consistently staffed with people who have the necessary skills, personal qualities and levels of motivation to competently meet the objectives outlined by our Overseas Programs, Resettlement Programs, and Headquarters departments. SCOPE OF WORK:
The Recruitment Administrator will provide hands-on administrative and logistical support to the HR Officer in the daily recruitment activities, all aspects of employee administration process, and on-going customer service efforts to international staff. The Recruitment Administrator will work closely with the HR benefits staff and the Finance Payroll staff and will liaise with HQ and International field and third parties as needed.

ESSENTIAL JOB FUNCTIONS:

EMPLOYEE ADMINISTRATION:

Effectively liaise with payroll and benefits staff to manage benefits and payroll issues as they arise, as well as handle payroll and benefits administration for new hires;

Perform various administrative tasks such as faxing, filing, photocopying, DHL, and regular mail;

Process the administration of employee salary increases and promotions;

Respond to employment verification inquiries;

Special Projects, as needed.

EMPLOYMENT LOGISTICS:

Assist with New Hire orientation and ensure new hire packet is kept current (country program information, benefits, lists);

Coordinate all logistics and orientations for new hires including travel, processing visas, disseminating new hire packet, collecting paperwork, etc.


CUSTOMER SERVICE:

Follow-up on various inquiries from job applicants and current employees;

Keep up-to-date on policy and procedure updates;

Work with the international HR Officer on monitoring and improving support services to IRC overseas staff;

Process reimbursements for new hires and candidates in a timely manner;

Act as liaison with IRC internal departments on various issues.

RECRUITMENT SUPPORT:

Process and update employment opportunity postings;
Work with international HR Officer to maintain list of advertising sources and place job announcement, as well as conduct research to develop new sources for recruitment;

Respond to phone calls and general inquiries concerning employment with IRC;

Set-up interview appointments;

Participate in various job and career fairs, when needed.


REQUIREMENTS:

Bachelor’s degree – or equivalent degree;

Some previous work experience in an office setting;

Excellent organizational skills: the ability to work accurately in a fast-paced, detail-oriented environment;

Proven writing and editing skills:

Excellent interpersonal and communication skills: the ability to successfully interact in writing and in person with a variety of people in a multicultural environment;

Ability to use sound judgment in maintaining confidentiality of employee information.

Flexible work attitude: the ability to work productively in a team environment & independently, the ability to take initiative and work pro-actively;

Solid Computer skills: ability to work effectively and accurately with MS Word, Excel, email and Internet applications. Previous experience with Access databases highly desirable.

International experience preferred.

Ensure proper maintenance of various HR databases and HR files;
